Document Reminders Overview

When a document is sent from Upsign, the recipient will receive an initial notification inviting them to complete the document. Often, a reminder is needed, and in many cases, multiple reminders are required.  

Reminders can help speed up document completion rates and turnaround time.  We recommend using reminders just enough to keep a recipients attention and help them to take the required steps. Upsign offers three reminder types:

Reminder types

  • Automated reminders - These reminders are time-based reminders that are set per document.  Once enabled, they will send automatically to recipients until the document is completed.  See Automated Reminders to learn more.
  • Manual reminders - These reminders allow the sender to force a reminder to recipients.  These are also document level reminders but they are not time-based.  They send when a sender clicks the reminder action.  See Manual Reminders to learn more.
  • Expiration notifications - Expiration reminders allows the sender to put an expiration on the document.  This is useful when you need a document completed by a specific deadline or when you're trying to hold recipients to a specific deadline.  Expiration reminders are time-based and can notify the recipient when the document will not longer be available.

How do automated reminders work?

  • All reminders are document-based.  This means they apply to the individual document and will send to all recipients included on the document.
  • When a reminder is sent, it will send to any recipients who have not completed their part, this includes both signers and approvers.
  • If a signing order is applied, only recipients who are pending completion will receive the reminder.  In other words, if the document has 3 recipients on it and the document is currently waiting on the 2nd recipient to sign, the second recipient will receive the notification.  The 3rd recipient will not because it isn't their turn yet.

What the reminders do?

  • Days after sending - When enabled, a reminder will be sent to all recipients who haven't completed their part.  This is a one-time reminder that will be triggered based on the number of days specified.
Example: Reminder after 2 days
A document sender creates a document and enables the automated reminder with the following; Send reminder [2] days after document is sent. After the document is sent, the clock will start. When two days have passed, Upsign will automatically send a reminder to all pending recipients to remind them to completed the document.
  • Recurring until completed - Once enabled, a recurring reminder will send. based on the number of days specified.
Example: Reminder every day
A sales team sends documents they need signed quickly to meet deadlines and align with client budgets. To promote timely completion, they enable the following reminders settings:
  • Send reminder [2] days after document is sent
  • Resend reminder every [1] days until document is completed or voided

When the document is sent, the date and time are logged. The first reminder is sent to all pending recipients, two days after the document was sent. After another day passes, the second reminder notification is triggered and will repeat each day until the document is completed.

 

Note: The days after sending notification can be enabled independent of the recurring notification. The recurring notification, however, is dependent on the days after sending notification
